New Release Processing

Opening and Sorting Mail

  • Open all mail with scissors. Please do not stab yourself or anyone else with scissors.
  • Signed items, Vinyl, Tapes and Mini-CDs go to the top shelf of the black shelves.
  • Posters go in the rubber, lidded container in the storage closet.
  • Buttons, stickers and miscellany go in the bottom drawer of the small black metal file cabinet.

We automatically pass on the following:

  • Compilation Samplers should be placed in the stack marked “samplers” in the metal cabinet.
  • Singles or CDs with 3 or fewer tracks should be placed in the stack marked “singles” in the metal cabinet.
  • Broken CDs should be placed in the stack marked “Broken/Re-service” in the metal cabinet.

If the CD is addressed to a programmer and we DO NOT yet have a copy, add to the appropriate genre pile (detailed below). To check if it is an extra copy, check the Digital Music Library and the pile of CDs yet to be entered to see if we already have one (in which case, the second copy can go to the programmer it is addressed to).

To determine which programmer to not give a CD to, if a choice must be made, check in the playlist archive to see if any of the programmers have played the artist previously. If all else fails, just do eenie-meanie-minie-mo.

Even if we don’t have a station copy, packages addressed to programmers should be placed on the top black shelf labeled “Programmer Mail” if the album:

  • is from a local group
  • is from an individual artist (not a label)
  • is from overseas
  • is hand-addressed or includes a handwritten note

Extra CDs (which come individually, not addressed to a programmer) should be placed in a stack in the metal cabinet (labeled “Duplicates”) to be distributed to programmers, set aside as a Sound Investor gift, Twangfest Ebay Auction item, or for street team giveaway.

If a CD comes with a packing slip or invoice, these are probably premiums–please give invoices and CDs to Nick.

Place the empty mail tub in the stack of empty mail tubs in the music department. They need to occasionally be brought to the Magnolia Ave. cafe for the post man.

For our purposes, the following people are not people. Anything addressed to them or to any (assistant) music director should be opened as if addressed to the station:

  • any current intern
  • Nico Leone (former music director) - except things addressed to Coin-Operated Radio
  • Sarah Cochran (former music director)
  • Grace Woodard (former music director)
  • Tony Renner (former music director)
  • Kate Estwing (RPM / Hip Hop) - except things addressed to Beep Beep Boop Boop
  • Larry Weir (former Americana director) - except things addressed to Songwriters Showcase
  • Kip Loui (former Americana programmer)
  • Liz Deichmann (former intern)
  • Christine Sanley (former intern)

Regarding any mail addressed to these people, enter them into the to notify the label or promoter of the correct contact here at KDHX.

Here are exceptions to these rules:

  • Hacienda goes directly to the programmer (Latin Hemispheres)
  • CD TEX goes directly to the programmer named on the label
  • Dubitall/Grateful Dead Hour goes directly to Jim Bruce’s mailbox
  • Greentrax packages from Scotland addressed to Paul Stamler go into the library
  • Christmas music goes in the bins at the bottom of the metal cabinet.
  • One-hour radio specials are automatic passes.
  • Packages addressed to Literature for the Halibut, Jane or Ann contain books and should be placed directly on the programmer mail shelf.
  • Local releases not addressed to a specific programmer: Place a red circular sticker with the word “Local” written on it on the top right-hand corner of the front of the CD and small red sticker on the spine and then sort as usual.

Sort CDs into the following piles on the black shelf by genre, they will be moved to the bottom shelf after being uploaded:

  • rock (rock, hip hop, electronic)
  • Americana (Americana, folk, singer/songwriter, bluegrass),
  • jazz
  • blues (blues, soul, r&b)
  • world/misc (world, reggae, soundtracks, spoken word, etc.).

CDs should be placed in back. CDs in front should be uploaded first.

If you are not sure which genre it goes in, check the Physical Music Library Database for other releases from the artist (remember: last name only), or the one-sheet for a description, or look it up on allmusic.com or ask Nick.

Open the CD in iTunes and take a quick listen for “embarrassment factor.” If we would be embarrassed to hear it played by any DJ at KDHX, we pass. Keep in mind that our DJs have very diverse tastes! Enter all passes into the Google Drive spreadsheet called MD - Passes. If you do not have access to the document, just ask Nick to share it with you. Place in the pass stack in the metal cabinet.
